Our client is looking for a Communications Officer
Role Purpose
The Communications Officer supports the Project team by owning and coordinating project communication activities related to the Program within the company.
The role is responsible for gathering status updates across all key project topics on a weekly basis and consolidating them into clear and structured communication material, primarily PowerPoint slide decks and stakeholder updates.
The Communications Officer is responsible for creating the communication content and status reporting material on behalf of the Project Manager and Business Lead. The Project Manager and Business Lead will review and approve the communication content prior to distribution or presentation to stakeholder groups. Depending on the audience and communication type, approved communication may eventually also be distributed directly by the Communications Officer through a dedicated or generic communications identity.
The Communications Officer attends key project meetings to understand discussions, decisions, priorities, risks, dependencies, and follow-up actions in order to ensure project communications accurately reflect the current project status and direction.
This role is not a secretarial, minute-taking, or administrative support role. Attendance at meetings is required to ensure communications and status reporting remain aligned with the project’s key topics, decisions, priorities, and actions.
The role requires a proactive, independent individual who is comfortable working without close supervision and who actively comes forward with questions, ideas, improvement suggestions, and communication proposals.
The role is expected to work on-site at the HQ a minimum of 1–2 days per week to ensure close alignment with the local project team and key stakeholders.
Key Responsibilities
- Gather weekly status updates from project stakeholders and topic owners
- Consolidate project updates into structured stakeholder-ready communication decks
- Create communication material and status reporting on behalf of the Project Manager and Business Lead
- Create and maintain status update slide decks, primarily in PowerPoint
- Prepare communication material in Dutch and French, and where required also in English
- Attend key project meetings to capture important discussion points, decisions, risks, priorities, and follow-up actions
- Ensure communication material accurately reflects current project status and direction
- Support communication activities linked to testing, pilot, rollout, and operational readiness phases
- Maintain communication planning trackers and schedules
- Follow up proactively with stakeholders to obtain required updates and inputs
- Coordinate and align communication content across Business and IT teams within the company
Communication Activities
Communication material prepared by the Communications Officer will support the Project Manager and Business Lead in providing updates to:
- Project and Business teams
- IT and operational stakeholders
- Other departments within the organization
- Store-related stakeholder groups
- Store representatives and franchise groups such as DAPB (Affiliate Partner Board)
- Management and executive stakeholder groups
Communication materials may include:
- Weekly status update slide decks
- Program and milestone updates
- Stakeholder communication packs
- Business readiness communication
- UAT and testing communication
- Rollout communication support
- Key decision and action summaries
- SharePoint / Confluence communication updates
- Executive and management reporting material
Experience
Required Experience
- Minimum 3–5 years experience in project communication, stakeholder communication, or transformation program coordination
- Minimum 3 years experience preparing management-level PowerPoint communication and status reporting decks
- Experience supporting large transformation, retail, or IT delivery programs
- Experience coordinating communication across Business and IT stakeholder groups
- Experience consolidating complex project information into clear and structured communication material
Preferred Experience
- Experience working within retail, operational, or store transformation environments
- Experience supporting multi-language stakeholder environments
- Experience working in large enterprise or international project environments

The role requires preparation and coordination of communication material in Dutch and French on a regular basis, including management presentations and stakeholder communication decks. English may also be required depending on the audience and stakeholder group.
