Our client is looking for an experienced Document Management Governance Specialist to develop and implement a harmonised document management and information governance framework.
You will be responsible for establishing structured standards, procedures and processes for managing documents throughout their lifecycle. You will work closely with IT teams, business stakeholders and other relevant departments to ensure that document management processes are efficient, secure and compliant.
Responsibilities
- Develop and configure a harmonised document management governance system.
- Establish and maintain standards and procedures for:
- Metadata management
- Document localisation and classification
- Version control
- Document retention and archiving
- Coordinate with IT and relevant business teams to ensure:
- System compatibility
- Successful data migration
- Data integrity
- Process efficiency
- Information security
- Analyse existing document management and information processes.
- Design and implement new processes and document control procedures.
- Identify improvement opportunities and lead initiatives to optimise document handling and information management.
- Monitor compliance with document management policies and intervene when corrective actions are required.
- Train and support users in document management and archiving best practices.
- Promote user adoption and ensure the correct use of document management systems and procedures.
- Manage stakeholders and communicate effectively across technical and business teams.
Profile
- Bachelor’s degree in Information Management, Business Administration or a related field, or equivalent professional experience.
- Previous experience setting up or harmonising a document management governance system within a business or technical environment.
- Experience with digitalisation initiatives and change management.
- Strong organisational and analytical skills.
- Proven ability to develop and implement structured document control procedures from scratch.
- Strong stakeholder management and communication skills.
- Native-level proficiency in French or Dutch.
- Good knowledge of the other Belgian national language and English.
