Our client is looking for a PMO Officer to strengthen the Corporate PMO team and provide operational support across project, program, and portfolio management activities.
The role focuses on project monitoring, governance compliance, quality assurance, portfolio reporting, and supporting Project and Program Managers in the consistent use of processes and tools.
Responsibilities
Project and Program Monitoring
- Monitor project and program progress in the Project Portfolio Management tool, such as Planview or an equivalent solution
- Ensure project information is complete, accurate, and aligned with the applicable governance framework
- Collaborate closely with Project Managers and Program Managers to keep project data and status information up to date
- Follow up on milestones, risks, issues, dependencies, budgets, and delivery status
- Identify missing or inconsistent project information and coordinate the required corrections
Quality Assurance and Governance
- Support the monthly quality review of Project Status Reports
- Review project information in preparation for governance and gating decisions
- Verify compliance with established standards, templates, processes, and reporting requirements
- Provide guidance to Project and Program Managers on governance expectations
- Support the consistent application of project management best practices across the portfolio
- Assist stakeholders with the correct use of templates, tools, and governance processes
Portfolio Management and Reporting
- Prepare monthly portfolio review and governance meetings
- Compile and analyze information from the PPM tool and other relevant data sources
- Create portfolio-level reports and management insights
- Highlight key risks, issues, dependencies, trends, and required management decisions
- Support gating, prioritization, and portfolio decision-making processes
- Update transformation roadmaps and portfolio documentation
- Work closely with the Portfolio Management Office to maintain an accurate overview of the project portfolio
Process and Tool Support
- Act as a subject-matter expert for the PPM tool
- Support Project and Program Managers with tool adoption, reporting, and data quality
- Help optimize PMO processes and improve the efficiency of project and portfolio reporting
- Provide practical support and guidance on the use of Planview or similar PPM solutions
- Facilitate collaboration and knowledge sharing within the Project and Program Management community
- Use Microsoft 365 tools such as Teams, SharePoint, Power BI, and Power Platform to support communication, reporting, and collaboration
Profile
- Relevant experience in a PMO, project support, portfolio management, or governance role
- Strong understanding of project and program governance frameworks
- Familiarity with methodologies inspired by PRINCE2, PMI, Agile, or similar approaches
- Experience monitoring projects and programs through a PPM tool
- Knowledge of Planview or an equivalent PPM solution is a strong asset
- Ability to analyze project and portfolio data and identify relevant trends
- Experience preparing governance meetings, management reports, and portfolio reviews
- Strong attention to detail and commitment to data quality
- Ability to work in a structured and process-oriented manner
- Strong stakeholder management and communication skills
- Able to guide and support Project and Program Managers without direct authority
- Comfortable working in a hybrid business and IT environment
- Proactive, service-oriented, and capable of working independently
- Able to translate complex project information into clear management insights
